How work hours are calculated

Hours worked = end time − start time − unpaid breaks. If the end time is earlier than the start time, the shift crossed midnight and 24 hours are added, so 10:00 PM to 6:30 AM with a 30-minute break is 8 hours.

Federal overtime is based on hours actually worked in the workweek. Paid time off, holidays and sick days are paid, but they don't count toward the 40 hours (29 CFR 778.218), which is why the calculator keeps PTO separate.

Common questions

How do I calculate my work hours for the week?

Work out each day's hours (end minus start minus unpaid breaks) and add them up. 5 days of 8:00 AM to 4:30 PM with a 30-minute lunch is 8 hours a day, 40 hours a week.

How do I calculate hours for an overnight shift?

If the end time is earlier than the start time, add 24 hours to the end time first. 11:00 PM to 7:00 AM is 8 hours.

Do PTO or holiday hours count toward overtime?

Not under federal law. Overtime is owed for hours actually worked over 40. Paid time off is paid at your normal rate but doesn't count toward the 40 hours, unless your employer or state rules say otherwise.

How many work hours are in a year?

A full-time schedule of 40 hours × 52 weeks is 2,080 hours, the figure most employers use to convert salary to an hourly rate.
